Volunteer Coaching Roles & Responsibilities

Help us build the future of Elgin baseball & softball. Whether you’re new to the game or a seasoned player, there’s a place for you on the EBSA coaching team.

Why Coaches Matter

At EBSA, volunteers are the heart of our program. Team Managers, Head Coaches, and Assistant Coaches work together to create a safe, fun, and positive environment where every player can grow in skill, confidence, and sportsmanship.

Role

🌟 Team Manager

The Team Manager is the main leader and point of communication for each team, focusing on organization and keeping families informed.

  • Serve as the primary contact between EBSA and team families
  • Attend EBSA board/coach meetings during the season
  • Coordinate team practice schedules and game communication
  • Share league policies, updates, and expectations with families
  • Organize team volunteers (snack schedule, scorekeeper, dugout help, etc.)
  • Oversee game-day details: player check-in, equipment, uniforms
  • Support coaches in maintaining a positive, inclusive team culture
Role

🧢 Head Coach

The Head Coach leads on-field instruction, game strategy, and overall player development while modeling sportsmanship.

  • Plan and lead practices that teach age-appropriate skills
  • Coach the team during games and manage lineups/substitutions
  • Create a positive, encouraging environment for all players
  • Promote fair play, effort, and respect for opponents and umpires
  • Communicate player progress and expectations with families
  • Work closely with the Team Manager on schedules and updates
  • Ensure safety rules and EBSA / PONY guidelines are followed
Role

Assistant Coach

Assistant Coaches support the Head Coach with drills, instruction, and game-day logistics while encouraging players.

  • Help run practice drills and small-group instruction
  • Assist with warmups, field prep, and equipment setup
  • Support dugout organization and keep players focused and ready
  • Encourage all players and reinforce team values
  • Step in when the Head Coach is unavailable
  • Uphold EBSA and PONY safety, conduct, and sportsmanship standards

Communication Expectations

All EBSA coaches and team managers are expected to communicate in a way that reflects our values and puts kids first.

  • Model respectful communication with players, families, umpires, and opponents
  • Keep messages clear, timely, and positive
  • Address concerns privately and professionally
  • Respond promptly to EBSA board and league communication

We coach every player, not just the score.

Pre-Season Coach & Manager Meeting

All Team Managers, Head Coaches, and Assistant Coaches will attend a mandatory pre-season meeting in late January. Final date, time, and location will be emailed to registered volunteers and posted on EBSA social media.
